The Global Supply Management (GSM) Function is recognized as a critical function for business success. Currently, GSM is seeking an experienced Executive Administrative Assistant to work directly for the Vice President of Global Supply Management.

The ideal candidate will perform advanced and diversified administrative duties which require a broad and comprehensive knowledge of Company policy and procedures, as well as handle confidential matters. He/she will structure and organize activities of the executive to facilitate the efficient operation of the department and will be a member of GSM’s Executive Leadership Team (ELT).

Job Responsibilities:

  • Handles domestic/international travel including but not limited to local travel, hotels, meals, travel documents ( Visa applications) calendar, correspondence, and other scheduled communication for the GSM VP
  • Handles domestic/international travel, calendar, correspondence and other scheduled communications for the GSM PMCOE Director
  • Coordinates and supports executive leadership team meetings and projects in collaboration with administrative team members
  • Supports other GSM ELT members as necessary in relationship to special projects
  • Prepares and submits expense reports as needed
  • Telephone coverage
  • Creates and prepares presentations, graphs and reports as needed in advance of trips and / or meetings
  • Creates, prepares and controls highly proprietary / restricted / confidential documents

Education and Experience:

  • AAS degree in a business-related area or equivalent work experience
  • 7-10 years as an Administrative Assistant

  • Computer / software and extensive knowledge and experience with Excel, Word and PowerPoint Required Skills:

  • Extensive experience in travel arrangements (both domestic and international); as well as calendar and event management

  • Strong computer skills and proficient use of Microsoft Office including Outlook, PowerPoint, Word, and Excel

Desired Skills:

  • Experience with AMEX; Concur
  • Experience with Microsoft Net Meeting and AT&T Web Meeting
  • Experience with AT&T WebEx and Live Meeting products, as well as experiencing booking audio and net conferencing calls with AT&T
  • Experience ordering supplies through eProcurement
  • Experience inputting purchase orders in the People Soft system
